Uniquely, The Fashion Pact is CEO-led, action-oriented non-profit organization funded by its members, and focuses on building upon and going beyond existing efforts. Today, The Fashion Pact Association has +80 signatories, together representing over 250 brands and 1/3 of the fashion industry, each eager to leverage collective action to scale and achieve impact.

Reporting to the Executive Director of The Fashion Pact, you will be responsible for the smooth running of our HR operations (including talent acquisition and management, team culture, etc), financial management (including financial planning, bookkeeping, reporting, etc), internal processes and policies, legal and compliance.

JOB TASKS AND RESPONSIBILITIES :

Finance Support :

  • Manage day to day financial operations, ensuring that financial records are accurate and up to date – to enable the timely delivery of accurate and useful financial reports to management and Committees;
  • Own The Fashion Pact’s annual budget (prepare annual budget for Committee review, collaborate with Head of Departments to ensure budget targets are met);
  • Manage the process of the annual account closing alongside our external accountant;
  • Manage the admin and financial aspects of all grants received;
  • Process of all invoices;
  • Payroll – own operation of the monthly payroll processes to ensure that staff are paid accurately and on time and that all appropriate filings are made with the relevant tax authorities;
  • Manage changes and updates to payroll;
  • Provide additional support as required working with external accountants.

HR :

  • Supporting with HR topics including managing new starter process, drafting contracts, writing job description, managing employee files, team culture…);
  • Supervise the yearly employee review process;
  • Coordinate and arrange team events;
  • Ownership of HR policies.

Administration/IT :

  • Provide general day-to-day office administration;
  • Provide day-to-day personal assistance support to the Executive Director to schedule meetings, travel, any admin support;
  • Lead on office space rental contract;
  • Support IT and technical needs alongside our IT partner;
  • Collaborate with IT partner in setting-up a Stakeholder management system, including training and documentation.

Membership Administration :

  • Be the first point of contact for new member enquiries, manage all new member requests coming from the website;
  • Timely and accurate processing of membership invoices;
  • Support with the handling of member enquiries and administrative issues.

Legal and compliance :

  • Ensure we are fully legally compliant, lead on governance requirements/reporting, and liaise with lawyers as needed;
  • Lead on contracting external suppliers.

WORK EXPERIENCE :

  • Demonstrable experience in operations, administration, HR, finance or another relevant field in a start-up environment;
  • Experience in compassionately and successfully line managing people, and getting the best out of colleagues, including in a remote environment.

SKILLS AND ABILITIES REQUIRED :

Hard skills :

  • Good level of IT literacy and a willingness to learn new software packages;
  • Strong financial literacy, and excellent attention to detail;
  • A high degree of organisation and efficiency, and a passion for devising and managing effective systems, fixing problems, and ensuring accurate, high-quality administration;
  • An ability to work strategically and to prioritise the most impactful work;
  • Fluent English, both written and spoken.

Soft skills:
